Team & Permissions
Add colleagues to the account and decide exactly what each of them can see and do.
Add your colleagues to the service account and decide exactly what each of them can do: what they see, create, change and delete, separately for every module.
Adding a member
Members are added from Settings → Team. You fill in the name, username and email, and either type a password or generate one automatically.
If you choose to send it by email, your colleague receives their login details. The email says who added them and to which service. On the first login, they are asked to change the password.
The number of members depends on your subscription plan. The counter on the Team page shows how many seats you have used.
Permissions per module
For every module you choose what the member can do: View, Create, Edit, Delete. Any action you tick automatically includes viewing.
A new member gets full access to clients, cars, work orders and part sales by default. The Default, All and None buttons let you change the whole list quickly.
Members only see the menus and buttons they have access to. Modules that are not included in your plan are shown as locked, with the Pro label.
Some permissions come with an explanation. The ones marked with a warning sign give access to sensitive data.
Warehouse and purchases
On top of the usual actions, the warehouse has a few separate permissions:
- Stock adjustment: manual stock correction (stocktaking, losses). Every adjustment appears in stock movements.
- Receipt: receiving goods on a purchase, on the web or with the phone. A storekeeper can receive goods without seeing the prices.
- Pricing: purchase prices, average cost and stock value. Without this permission, the member works with the warehouse and purchases but doesn't see the amounts.
Settings
Every settings tab has its own permission: Service details, Regional, Work order, Privacy, Team, Contract, Billing and Review. For example, a manager can change the work order settings without having access to billing.
Privacy allows exporting all account data. Grant it only to people you trust.
What always stays with the owner
The account owner always has full access. Only the owner can request account deletion and see the audit.
If you give a member access to Team, they can add and edit colleagues, but only with the permissions they have themselves. They can't change the owner or their own account, so they can't raise their own access.
Every action taken by members appears in Audit, with the name of the person who took it.
